Officer Responsibilities, Job Descriptions, & Conference Responsibilities
Conference Steering Committee: The Conference Steering Committee, made up of all IAEA board members,
plan and run the conference activities.
Project Director/Coordinator: President is responsible for all conference, reception and gallery tour organization,
coordination and management including keynote speaker and hands-on workshop presenter recruitment *. President
also maintains the IAEA website.
Conference Budget Administrator: Treasurer is responsible for membership fee collection, conference
pre-registration and on-site registration as well as grant budget reporting to the grant follow-up report writer.
Treasurer is responsible for all financial record keeping for IAEA including making payments and deposits.
Vendor Recruitment, Minutes and Conference Correspondence: Secretary coordinates vendors and
donations, sends thank-you letters to vendors, takes minutes of meetings and maintain records of all correspondence
before, during and after the conference.
Conference Community Art Project, Raffle and Silent Auction, Educator of the Year Awards:
President-Elect coordinates the community art project, raffle and silent auction and educator of the year awards*.
Conference Publicity, Documentation, Grant Writing and Credits: Vice President coordinates conference
publicity and publications as well as the digital recording* of the keynote panel, various workshops and conference
activities. Vice President is also responsible for grant writing and providing information for the follow-up report in
addition to applying for college credits for the conference (at least 6 months before the conference) and posting
teacher grades after the completion of the conference.
Newsletter Editor: Editor works with the President to publish and distribute the IAEA newsletters containing pre-
and post-conference information, subscriptions and registration forms**.
* Responsibilities for conference, reception and gallery tour organization, coordination and management including
keynote speaker and hands-on workshop presenter recruitment were shared between VP and President for 2005
conference. (In the past, the President-Elect was also heavily involved in these responsibilities). Conference
publicity, publications and documentation was shared with President for 2005 conference. The community art
project, silent auction and educator of the year awards were coordinated by the VP for 2005 conference.
** Newsletter responsibilities were handled by President for 2004 and 2005.
